Position Overview: We are seeking a highly organized and detail-oriented individual to join our hospital as a Medical Record Administrator. As a Medical Record Administrator, you will play a crucial role in ensuring accurate and efficient management of patient health records and information. Your responsibilities will include maintaining the integrity and confidentiality of medical records, overseeing record retrieval and storage, and ensuring compliance with relevant regulations and standards.
Responsibilities:
Record Management: Maintain accurate and up-to-date patient records in compliance with hospital policies, industry standards, and legal requirements. Organize and categorize medical records to facilitate efficient retrieval and ensure confidentiality.
Documentation Review: Verify completeness, accuracy, and timeliness of medical records, including patient demographics, medical history, diagnoses, treatments, and procedures. Collaborate with healthcare providers to resolve any discrepancies or missing information.
Electronic Health Record (EHR) Management: Utilize hospital's electronic health record system to input, update, and retrieve patient information. Ensure proper utilization of EHR functionalities and train staff on EHR usage as necessary.
Compliance and Regulations: Stay informed about relevant regulations, guidelines, and best practices related to medical record management, including HIPAA (Health Insurance Portability and Accountability Act). Ensure adherence to these regulations and implement necessary policies and procedures.
Record Retention and Disposal: Develop and maintain record retention schedules. Coordinate the secure storage and timely disposal of medical records according to legal requirements and hospital policies.
Quality Assurance: Conduct periodic audits of medical records to assess accuracy, completeness, and compliance. Identify areas for improvement and implement corrective actions as needed.
Staff Training and Support: Provide training and guidance to hospital staff on proper record documentation, storage, and retrieval. Offer support and assistance to healthcare providers and administrative staff in navigating medical record systems and resolving related issues.
Collaboration: Work closely with various departments, including health information management, medical coding, billing, and compliance, to ensure effective communication and coordination of medical record-related activities.
Technology Adoption: Stay updated on advancements in health information technology and electronic medical record systems. Participate in the evaluation and implementation of new technologies to enhance record management processes.
Qualifications:
- Bachelor's degree in Health Information Management, Healthcare Administration, or a related field (or equivalent experience).
- Certified Health Data Analyst (CHDA) or Certified Professional in Health Informatics (CPHI) is preferred.
- Strong knowledge of medical terminology, coding systems (ICD-10, CPT), and healthcare regulations (HIPAA, HITECH).
- Proficiency in electronic health record (EHR) systems and other health information management software.
- Excellent attention to detail, organizational skills, and ability to multitask effectively.
- Strong communication and interpersonal skills to collaborate with healthcare professionals and support staff.
- Knowledge of record retention and disposal regulations.
- Familiarity with quality improvement processes and audit procedures.
- Ability to maintain confidentiality and adhere to ethical standards.
- Experience in a hospital or healthcare setting is highly desirable.
